Scheduling employee summer vacations can be challenging. Here are some suggestions for doing it well.


It’s summertime and if you’re a small business owner you know what that means… employees asking to schedule some well-deserved vacation time.

That can be a real challenge for a small business owner with a small staff that will need to fill in when other employees are off.

TrackSmart, a maker of software that tracks employee hours, offers some ideas on how to handle vacation scheduling without upsetting your workers.

  • Require employees to submit their vacation requests in advance so you’re not flooded with multiple last minute requests. Depending on the type of business you’re in the cutoff date could be anywhere from 30 days to a year in advance.
  • Limit the number of employees who can take off at the same time, but allow for some flexibility to avoid alienating workers.
  • Offer higher pay, or a bonus, to employees who agree to work during a popular vacation week.
  • Divide up the vacationing employee’s work among several co-workers so one co-worker doesn’t have to pick up all the work.
  • Make sure the vacationing employee leaves a complete list of his or her major responsibilities and a list of key contacts for the people who will be filling in.
